How to Measure Shop Advertising Results Without Any Tools: Calls, Messages and Coupon Words
By Motu Patlu Ads · Published · 6 min read
Most shop owners run an ad, feel that business was a bit better or a bit slower, and then guess. That makes it hard to know what to repeat. You do not need analytics software to do better than guessing.
This guide shows five simple ways to track results using a notebook and your phone. None of them needs technical skill, and all of them work for a single-counter shop.
What should I actually measure?
Do not try to measure everything. A small shop needs only four numbers, and each one maps to a real action.
- Enquiries: phone calls and WhatsApp messages that mention the ad.
- Visits: new customers who walk in and say they saw the ad or heard about it.
- Sales from the ad: purchases linked to a coupon word, a code or an offer name.
- Repeat customers: people who come back for a second purchase within the month.
Tip: Enquiries are usually the easiest number to capture, so start there and add the others slowly.
How do I use a coupon word to track an ad?
A coupon word is a simple secret word that appears in only one ad. Customers say it at the counter or type it in a WhatsApp message to claim the offer. Every time somebody uses the word, you know which ad brought them.
- Pick an easy word that is connected to the ad: "DIWALI", "GIFT", "SHAAN", the name of your area, or a short code.
- Put the word at the end of the video and in the caption: "Counter par bolein SHAAN aur paayein extra gift."
- Use a different word for each ad or each place, such as one word for WhatsApp Status and another for Instagram.
- Keep a notebook at the counter. Each time someone says the word, make a tick next to it.
- Set a clear end date for the offer and honour it fully, so customers trust it.
How do I track calls and WhatsApp messages?
Phone calls and chats are the most direct sign that an ad worked. Here is a simple routine.
- Before the ad goes live, note the average number of calls and new chats you get in a normal week. Just count for seven days.
- When you post the ad, write the date and time in your notebook with the name of the ad.
- Each time someone calls or messages, ask politely, "Aapko humare baare mein kahan se pata chala?" and write the answer.
- In WhatsApp Business, use labels such as "New customer", "Ad enquiry" or "Order". Our WhatsApp Business app guide explains labels and quick replies.
- At the end of the week, count the tick marks for each source.
What is the one question to ask at the counter?
The best tracking tool is a friendly question. When a new face arrives, ask, "Aap pehli baar aaye hain? Kaise pata chala?" Then note the answer with a tick in one of these columns:
- WhatsApp Status or message
- Instagram or Facebook
- Google search or Google Maps
- Passing by or the signboard
- Friend, family or neighbour
- Other
Tip: Ask in a relaxed way. If the customer does not remember, just write "Do not know". That is still useful.
How do I compare the week before and after an ad?
A simple before-and-after comparison gives you an overall feel. Compare equal periods, for example this Monday to Sunday against the previous Monday to Sunday, and take festivals, weather, market days and holidays into account.
Write down: number of customers or bills, total sales for the week, calls and chats, and coupon-word uses. If the ad week is clearly better and your other conditions are similar, that is a good sign. If it is the same, the ad may need a stronger offer or a clearer call to action. Because many things affect a week of sales, treat this as a rough guide, not proof.
Can I get a ready weekly tracking sheet?
Draw this table in a notebook or note-taking app. Fill it for four weeks and you will already know more than most shops.
- Columns: Week dates, Ad or offer name, Where posted, Calls, WhatsApp chats, Coupon-word uses, New customers who came in, Total bills, Notes.
- One row per week or per ad.
- In Notes, write what was different that week: rain, festival, school holiday, competitor offer, stock out.
- Every Sunday night, spend ten minutes reading the rows and choose one ad to repeat and one to change.
How do I use views and likes without being misled?
WhatsApp Status shows you who viewed it, and Instagram and Facebook show views and likes. These help a little, but views are not sales. A video with many views and no calls means people watched but did not feel a reason to act. A video with fewer views but several enquiries is working better for your shop.
So look at views as a hint about interest, and calls, chats and visits as proof of action. If views are high but action is low, change the offer or the call to action. Our guide on video ad script writing has CTA ideas to test.
How do I test two ads fairly?
Change one thing at a time, otherwise you will not know what made the difference.
- Test two hooks: "Naya stock aa gaya" against "Flat 20% off" with everything else the same. The percentage is only an example, so use your own real offer.
- Test two posting times, such as morning and evening, for the same type of video.
- Test two calls to action: "call karein" against "WhatsApp karein".
- Run each version for the same number of days, then compare your tally sheet.
- Keep the winner and test something new next time.
What if I use an AI tool to create my ads?
The same tracking applies. When you generate videos with a tool such as Motu Patlu Ads, put a different offer line or coupon word in each version, and then see which one brings more enquiries. Ad creation gets faster, but the learning still comes from your notebook.
Frequently asked questions
How can I know if my ad worked without software?
Use a coupon word for each ad, ask new customers how they found you, and keep a weekly tally of calls, WhatsApp chats and visits. Compare it with a similar week without the ad. This is simple and works for small shops.
What is a coupon word in advertising?
It is a short word that appears in one ad. Customers say it at the counter or send it in a message to get the offer. You count how often it is used, which tells you which ad or platform brought them.
How long should I wait before judging an ad?
Give a normal ad at least a week and ideally two, since sales vary by day. For a festival or sale ad, judge it over the whole sale period. Avoid deciding from just one day, as it can be misleading.
Are views and likes enough to judge an ad?
No. They show interest, not action. Look at calls, messages, store visits and coupon-word use, because those are closer to real business. A video can be popular and still not bring buyers if the offer or call to action is weak.
Do I need to track every customer?
No. Start by tracking only new customers and enquiries. Even a rough tick-mark count each week is useful. When the habit is easy, add more details such as repeat visits and the average bill.
